We are looking for a sharp, highly organized Virtual Assistant who thrives in a high-speed environment and takes ownership without being micromanaged. The (VA) will play a critical role in supporting our sales and operations teams. This person will help ensure deals move smoothly, communication stays tight, and nothing falls through the cracks.

Experience in transaction coordination is highly preferred — but not required for the right high-output, detail-oriented operator.

Key Responsibilities

  • Assist with real estate transaction coordination tasks
  • Manage contracts, documents, and compliance tracking
  • Track deal timelines and ensure deadlines are met
  • Communicate with title companies, buyers, sellers, and internal teams
  • Maintain Salesforce (CRM) accuracy and update deal status in real-time
  • Support disposition and acquisition teams with administrative needs
  • Monitor shared inboxes and ensure fast, professional responses
  • Organize digital files and maintain structured documentation systems
  • Identify process gaps and proactively suggest improvements

  • Self-starter with minimal need for oversight

  • Experience in real estate operations or transaction coordination
  • Familiarity with contracts, escrow processes, and title timelines
  • Experience supporting sales teams
  • Someone that takes pride in clean files, tight communication, and operational excellence.
